In-House vs. Outsourced Cold Calling: The Real Cost Breakdown

6 min read · Updated July 2026

Everyone compares hourly rates. Almost nobody counts the real cost. A $3/hour VA looks cheaper than a $6/hour service — right up until you add everything the hourly rate hides. Here's the honest math on the three ways real estate investors run cold calling.

The trap: comparing hourly rates

The hourly number is the smallest part of what cold calling actually costs you. The real cost is the hourly rate plus the dialer, the data, your management time, turnover, and downtime. Miss those and you'll pick the "cheap" option that quietly costs you the most.

Option 1 — In-house US caller

A US-based employee gives you the most control and the worst economics. Figure $18–$25/hour, plus payroll taxes, equipment, a dialer, training time, and management. All-in you're often north of $4,000/month per seat before a single deal. Only worth it at real volume with a real team.

Option 2 — A solo overseas VA

The headline is cheap: $3–$6/hour. But the hourly rate hides the real bill:

Cheap on paper, expensive in practice.

Option 3 — A managed / done-for-you service

One all-in rate — typically around $6/hour per seat — covers the caller, the dialer, training, quality control, and reporting. No separate dialer bill, no data-management headache, no turnover risk (they replace callers, not you), no downtime, and no 10 hours a week of your life spent managing. You buy the outcome — dials happening and leads landing — not a person to babysit.

Count your time. The single most expensive thing about the "cheap" VA route is the 10+ hours a week it takes from you. That's time you could spend closing deals — the highest-value work you do.

The honest conclusion

If you have the time and the systems to manage callers, a solo VA can work. If you'd rather spend your hours closing deals than running a mini call center, a managed service is usually the cheapest option per result — and always the cheapest for your time. Compare total cost, not the hourly rate.
